Multiplication of information channels within modern enterprises
Abstract
The rightly functioning information system of an entreprise offers us a sound picture of its activities.
The entreprise has to be well informed of both the events of economic life and the results of development work, as well as of market demands, the situation of leading industrial companies, home and abroad, working along the same lines, and the highly advanced technologies. With full knowledge of these factors, it may rapidly adapt its activities to the ever changing economic conditions and requirements, and is capable of introducing new products and new technologies into the process of production.
The entreprise is expected to know its own potential, the degree of its possible utilization and also the reserves.
Therefore, building up information systems, both extemal and internal, is of utmost importance to every entreprise. Directives of the conference of the Roumanian Communist Party, held in December, 1967, laid special emphasis on the importance of developing external channels of information.
The study of industrial companies in Roumania has pointed out that previously only internal information had been given adequate attention in order that reports on the fulfilment of plans might be prepared and transmitted to the central authorities.
Besides giving , priority to the development of external channels of information, the internal system also has to be transformed so that information flowing through it and information coming from external sources might be comparable, thus permitting the company to analyse the place it takes in production both home and in the highly advanced countries.
In case of internal information flow, the sound organization of horizontal channels is particularly important. This type of information releases the leaders from solving minor problems. It may be laid down as a general rule that the sound system of information flow follows up the organizational relations of the relevant economic units. Thus, with the structure of production changed, a correaponding change has to be made in the way of information channels, as well as in the entire organization of the information system. In this fleld certain distortions or malfunctions may occur.
Such a malfunction arises if the message, information itself is being distorted, or if the message in intentionally "screened" somewhere, or if too much or too scarce information is transferred or the information is too complex and difficult to be interpreted.
Again, the malfunction of an information system is clearly marked if the messages flowing in it do not contain any novelty, are irrelevant, that is, they are incompatible with the tasks to be solved, or if they fail to reach their destination in an appropriate from.
Therefore, information should contain the most essential data only in accordance with the interest of the given function it is directed to. The form of processing and the evaluation of data should be helpful for decision-making, and the information is supposed to be received in time. It is also very important that the information system may permit the control of the results of decisionmaking.
